The Alumni Council of Eastern University 

Constitution of the Eastern University Alumni Association

Article I: Name
The name of this organization shall be: The Alumni Council of Eastern University 

Article II – Definitions

·   A Alumni Association

o   An alumni association is an association of graduates (alumni) or, more broadly, of former students.

·         Alumni Council

o   A member of the council must be the holder of an earned degree from the University. The council represents and serves the Alumni Association through the partnership of the Alumni Office. All positions within the council are volunteers

·         Alumni Office

o   The Director of Alumni Relations acts as a liaison between the University and alumni. The Director is an ex-officio member of the Alumni Council, attends its meetings, and supports and participates in the planning of alumni and University events.

o   The Assistant Director of Alumni Relations can also be a non-voting, ex-officio member of the Alumni Council.

o   Other alumni staff members of the Alumni Office can volunteer and be voting members of the Alumni Council.

Article III – Mission
The vision laid out by Eastern University's founders states that our aim is ''The whole gospel for the whole world.'' Eastern University Alumni are living out this creed in the business world, their social world, and in their personal lives. They are making a difference for Christ in the world, responding to the love of the one who has made a difference in us, the Lord Jesus Christ.

The Alumni Council exists to develop and maintain relationships with alumni, students, and the University as a whole, support and encourage these groups in their endeavors, and extend to them the hand of fellowship. Its goals are to:

  • Foster communication between alumni, students, faculty, staff and administration.
  • Maintain close cooperation and fellowship among alumni. 
  • Support and encourage networking and career development for alumni and students. 
  • Promote interest in the University.  
  • Provide an alumni presence at University events.

Article IV – Membership

  • All members of the Alumni Council must have an earned degree from Eastern University.
  • The Alumni Council strives to have at least one (1) representative from each decade with a minimum of ten (10) members.
  • Potential members can self-nominate or be nominated by council members.
  • The filling of vacancies on the Alumni Council shall be approved by the council members at a subsequent meeting.
  • The terms of the council members shall be one (1) year. Terms shall run from January 1 to December 31. A council member may be re-nominated and re-elected with no limits on the number of terms.
  • Terms are renewable each year upon agreement with a letter of intent on a calendar year basis.
  • If members are unable to adhere to their letter of intent, it will be assumed that this member will voluntarily step down from the Alumni Council. This does not preclude future membership to the council.  The only requirement for readmission is the completion of the letter of intent.

Article V – Duties

Section 1: Duties

  • Members shall participate in the meetings and activities of the Alumni Council. Continued membership expects members to attend a minimum of 3 business meetings and Homecoming. Terms are one (1) year, upon the completion of the letter of intent and there are no limits to the number of terms a member may serve.  We ask that all members contribute financially to Eastern University. A specific dollar amount is not required, but we believe the council members should be a model of giving to all alumni.
  • The Chairperson/Co-Chairpersons shall preside over all meetings of the council; shall lead the direction of the business of the council; shall be an ex-officio member of all committees; shall appoint committee chairpersons when needed; shall perform other duties the council or association may properly assign; shall be in attendance at the tri-annual Eastern University board meetings. Terms are limited to three (3) consecutive one (1) year terms. Election is by nomination and majority vote.
  • The Vice-Chairperson shall assist the Chairperson and act in the Chairperson's position in his/her absence with all the rights, privileges, and responsibilities of the office. Terms are limited to three (3) consecutive one (1) year terms. Election is by nomination and majority vote.
  • The Secretary shall keep a record of all council proceedings; shall be responsible for correspondence and notification of dates of meetings. Terms are limited to three (3) consecutive one (1) year terms. Election is by nomination and majority vote.
  • The Treasurer shall be custodian of all funds of the council; maintain all financial records; report all income and expenses of the council at each meeting. Terms are limited to three (3) consecutive one (1) year terms. Election is by nomination and majority vote.
  • The Volunteer Coordinator shall recruit, manage, and organize volunteers at events. Terms are limited to three (3) consecutive one (1) year terms. Election is by nomination and majority vote.

 

Section 2: Voting

Each council member shall have one (1) vote, except for the Chairperson(s) who may vote only in the event of a tie.

 

Section 3: Quorum

A quorum of any scheduled meeting of the Alumni Council shall be 60%, excluding the Eastern University representatives.

Article VI – Conflict of Interest

Section 1: Conflict of Interest
Council members shall avoid any personal or pecuniary conflict of interest that impairs, or might reasonably appear to impair, such member's independent, unbiased judgment in the discharge of his or her responsibilities to the council. 

Section 2: Disclosure

All council members shall disclose any possible conflict of interest at the earliest practical time.  No council member shall vote on any matter, under consideration in which such council member has a conflict of interest.  The minutes of such meeting shall reflect that a disclosure was made and that the councilmember having a conflict of interest abstained from any voting. Any council member who is uncertain whether a conflict of interest may exist in any matter may request the council to resolve the question by a majority vote.

Article VII – Committees

Other committees that are necessary to meet the flexible needs of the council shall be formulated by the council and shall be continued or dismissed at the council's discretion.

Article VIII – Area Chapters

An area chapter may be established by sending a letter of intent to the Alumni Council signed by no less than eight (8) alumni from the area. The council shall be unanimous in approving the establishment of the chapter. Area chapters shall elect a Chairperson to coordinate activities and record the business of their meetings, hold at least one meeting a year, and provide a means of fellowship among area alumni.

Article IX – Finances

The fiscal year shall be from July 1 to June 30. The Alumni Council shall prepare an estimated budget. Expenses are approved by vote when they occur.

Article X – Awards

Section 1: Alumnus/na of the Year Award

  • The Alumni Council shall seek nominations from the alumni for this award.  The Alumni Council votes to declare a winner. The award shall be based on the following criteria:
    • Holder of an earned undergraduate degree from Eastern University
    • A graduate of the university a minimum of ten years
    • Capability and achievement in his/her chosen career
    • Contributions to his/her community
    • Interest shown in the university
  • The perpetual plaque shall read: This award is presented to an alumnus of Eastern University to express appreciation for the outstanding service and dedication to serving Christ in their chosen field. The criteria for this award includes outstanding service though church, community, and/or vocational excellence coinciding with the mission of Eastern University.

Section 2: Distinguished Young Alumni of the Year Award

  • The Alumni Council shall seek nominations from the alumni for this award.  The Alumni Council votes to declare a winner.
  • This award recognizes an alumni/ae who has graduated from Eastern University within the past 10 years for significant contribution to church, vocation, community and/or Eastern University. The Distinguished Young Alumni Award honors a younger alum who embodies Christian values in their work and personal life and to recognize those who are outstanding leaders in their vocation and community, and show promise of future growth. This award recognizes and alumni/ae whose life faithfully exemplifies Christ and the mission of Eastern as demonstrated by acknowledged professional accomplishments, personal character, integrity, and a strong commitment to the Lord. All undergraduate within the past decade are eligible.
  • This award is based on the following criteria
    • Is an undergraduate who upholds the standards of Eastern University
    • Is distinguished among their peers for constructive contributions that display leadership, responsibility, and expertise in their field of endeavor
    • Is an individual with demonstrated commitment to community involvement
    • Is a person of integrity who inspires the constituency of Eastern University
    • Is a graduate who has demonstrated a continuing interest in and support of Eastern University though contribution of time, talent, and/or resources
    • Is an individual whose endeavors demonstrate the importance of his/her education and faith
  • The perpetual plaque shall read: This award recognizes an alumni/ae who has graduated from Eastern University within the past 10 years for significant contribution to church, vocation, community, and/or Eastern University. The Distinguished Young Alumni Award honors a younger alum who embodies Christian values in their work and personal life and recognizes those who are outstanding leaders in their vocation and community, and shows promise of future professional growth. This award recognizes an alumni/ae whose life faithfully exemplifies Christ and the mission of Eastern as demonstrated by acknowledged professional accomplishments, personal character, integrity, and a strong commitment to the Lord.

Section 3: The Lamplight Society

  • The Lamplight Society was established in 2002 to commemorate Eastern University’s 50th Anniversary. The Lamplight Society serves to honor those who have “shined the light” by making significant contributions to the life of Eastern University and have left an indelible imprint on the campus community. These contributions might have been in academics, athletics, student life, religious life, the Alumni Association, or in community service.
  • The Alumni Council nominates candidates from alumni, administrators, faculty or staff.  Administrators, faculty and staff may be current or former members of the Eastern community. The Alumni Council votes to declare a winner.
  • The perpetual plaque shall read: Given in honor of those whose lives and work have been beacons of exemplary Christian service, making a unique contribution to the life and mission of Eastern University and illuminating the path for those who will follow. “Thy Word is a lamp unto my feet and a light unto my path.” Psalm 119:105
  • The recipient shall receive an engraved plaque. The Lamplight Society plaque shall read: Given in honor of those whose lives and work have been beacons of exemplary Christian service, making a unique contribution to the life and mission of Eastern University and illuminating the path for those who will follow. The recipient’s name shall follow. At the bottom of the plaque, it shall be written: “Thy Word is a lamp unto my feet and a light unto my path.” Psalm 119:105

Section 4: Alumni Athletic Award

The awards committee shall seek nominations from the coaches and the athletic director regarding a male and a female athlete who best exemplify the spirit of Eastern on and off the field. The awards shall be presented by a member of the Alumni Council at the recognition of Eastern letter winners.

Article XI – Amendments

A proposed amendment shall be submitted in writing to the Alumni Council. Approval by two-thirds for the council shall be required for passage.
